Standardize before you move

An archive is only useful if any box can be found in a minute. Before moving day:

  • Use one box size — uniform boxes stack safely and sit cleanly on shelves
  • Label every box on two sides: year, department, box number
  • Keep a simple index spreadsheet: box number → what's inside

Shelve by how often you'll come

This year's working files go at eye level near the door; older years go higher and deeper. Shelve the walls and leave the middle of the unit free, and you can reach any box without moving another one.

Put a destruction date on every box

Most records only have to be kept for a fixed number of years. Write on each box the year it can be destroyed, note it in the index, and clear the expired boxes every January — the archive stops growing, and so does the unit you pay for.
